SharePoint offers four safer ways to publish documents

A SharePoint practitioner compared four ways to keep work-in-progress documents separate from employee-facing final versions: checkout, approval, major and minor versions, or separate editing and published sites. The comparison is useful because each option changes who can see unfinished content and how much process discipline is required.
Version history is not the same thing as controlled publication. A team can have approval and still expose a pending policy, SOP or handbook to people who should only see the final version.\n\nThe safest pattern depends on the consequence of a mistake. When an unfinished document would create confusion or compliance risk, a separate authoring site and read-only published site can be simpler to explain and govern than a clever library configuration.

Choose one document type where an early or accidental edit would cause real trouble. Compare a single-library approval pattern with a separate authoring and published-site pattern before changing permissions.
