SharePoint lists add AI builder and one-click updates

Microsoft is rolling out AI features for SharePoint lists that let users create lists, forms and insights by typing simple prompts. Quick action buttons enable one-click updates to entire columns, filtering now handles up to 20,000 results and grid view lets you edit and save changes row by row. These tools work in lists embedded across collaborative sites and channels, addressing data management in large teams. The updates appear in a preview announced March 23, 2026.
Hundreds of unused collaborative spaces mean buried data that users cannot find and permissions that expose risks when AI starts querying everything. These list tools let you prompt structured organisation from chaos without training, filter overgrown datasets at scale and automate updates across rows in seconds. A small team can now tame sprawl, build usable directories and lock down access before broader AI rollout, turning weeks of manual cleanup into hours and making information actually discoverable.
