SharePoint exposes item-level records of broad internal sharing

SharePoint exposes item-level records of broad internal sharing

Microsoft’s SharePoint Advanced Management report can show individual sites, files and folders shared through Everyone or Everyone except external users. The report covers SharePoint and OneDrive, records permission details and gives admins a more targeted way to investigate broadly shared content as the August rollout completes.

An admin can know that a site is broadly shared without knowing which items are the real exposure. That turns a permissions cleanup into a disruptive site-by-site exercise, especially when the same content can surface in Microsoft 365 Copilot search results. Item-level evidence changes the order of work: investigate the highest-risk files and folders first, then decide whether to remove a broad group, repair an inherited permission or leave an intentional share in place. The report is visibility, not an automatic remediation, and it requires the right SharePoint Advanced Management role.

Analysis

Ask a SharePoint Advanced Management administrator to run the Everyone except external users report once, then triage the first high-risk items with the site owners before changing any permissions.
