SharePoint teams need a plan before they archive content

SharePoint specialist Gregory Zelfond published a practical guide to archiving older content. It sets out the trade-offs behind keeping material in SharePoint, moving it elsewhere, or using Microsoft 365 Archive, including storage cost, search noise, outdated material, and retention obligations.
Archiving is not simply a storage clean-up job. If a team moves content without deciding what stays discoverable, what remains under retention, and who can retrieve it later, it can replace clutter with a harder audit or retrieval problem. The useful decision is to separate inactive reference material from work people still need to find and trust. That is especially important where old policies or documents might otherwise compete with current content in search or grounded AI responses.

Pick one ageing SharePoint library and make a four-column inventory: keep active, retain but restrict discovery, archive, or delete after retention. Confirm the owner and retrieval path for every archive candidate before moving a file.
