Personal workspaces can hide important team records at exit

A 29 July SharePoint Maven guide maps six places shared work can accidentally sit under one person: OneDrive, Teams chats, Microsoft Lists, Planner, Forms, and Loop. It reframes the issue as ownership and handoff, not simply whether colleagues can open a link today.
A file or list can look shared because several people can open it, while its ownership and lifecycle still depend on one employee’s account. That distinction becomes urgent during offboarding, when teams need a clear handoff rather than a last-minute recovery exercise. The safer pattern is to put work the team must keep into a shared site or Microsoft 365 Group from the start. Personal space remains useful for individual work, but it is a poor system of record for a project, process, or shared queue.
Analysis
Pick one active project and check where its files, Lists, Planner plan, Forms, and Loop pages live. Move team-owned work into the right shared site or group and confirm the offboarding owner and retention path.
