Microsoft ties SharePoint cleanup tools to Copilot and agent readiness

Microsoft updated its guidance on preparing SharePoint for Microsoft 365 Copilot and agents with SharePoint Advanced Management. The docs pull together the Content Management Assessment hub, site lifecycle and attestation policies, Microsoft 365 Archive, data access governance reports with AI insights, Restricted Access Control, Restricted Content Discovery, and the SharePoint Admin Agent. Archived sites move to cold storage. They stop using active SharePoint storage quota, keep content, permissions, and metadata, block user access until reactivation, and stay out of Copilot training. Restricted Content Discovery can hide a site from organisation-wide search and Copilot without changing permissions. Restricted Access Control can limit a site to named Microsoft 365 or Entra groups even when old links or permissions still exist. Assessments can be rerun every 30 days. Restricted Content Discovery needs SharePoint Advanced Management and Copilot licensing, applies at site level only, is meant as a temporary control, and can take more than a week to fully apply on sites with over 500,000 items.
Before this consolidated guidance, many small admin teams treated Copilot readiness as a vague permission scrub across hundreds of Teams-connected sites. Oversharing, ownerless workspaces, and stale project sites stayed buried until someone asked why Copilot surfaced the wrong file. Archive, discovery limits, and access clamps existed in pieces, but the path from report to action was easy to postpone. What changed is a clearer containment model. You can now separate sites that should leave the active estate, sites that must stay but should not feed org-wide Copilot answers, and sites that need hard group boundaries despite messy history. That shifts the job from endless manual reviews toward repeatable 30-day assessment cycles, with the caveat that heavy use of discovery restrictions can starve search and Copilot of useful content if applied too broadly.
Analysis
Treat this as a containment test, not a tenant-wide lockdown. Run the Content Management Assessment, pick a short list of inactive or clearly overshared sites, and apply Archive where nobody still needs access or Restricted Content Discovery / Restricted Access Control where the site must remain but should not leak into Copilot. Schedule the 30-day rerun and write down owners before you expand the pattern.
