Microsoft retires free Outlook meeting context for a paid Copilot prep tool

Microsoft will retire Outlook Meeting Insights starting mid-August 2026, with removal expected to finish by early September. The feature that automatically showed related emails and files inside meeting details is going away across Outlook on the web, the new Outlook for Windows, Outlook Mobile, Outlook for Mac, Teams, and Microsoft 365 Copilot surfaces. Licensed Microsoft 365 Copilot users are pointed to a replacement called Prepare for this meeting. That experience uses AI to summarize relevant content, tasks, and context. Users without a Copilot license lose the old automatic related-item view. Microsoft says no technical action is required for the removal, but it recommends communication, documentation updates, and training.
For years, meeting prep in Outlook included a quiet free assist: the calendar surface itself pulled nearby files and mail into view without a prompt, a license upsell, or a separate AI chat. That kept light context close to the event and reduced the need to rebuild the same briefing from scratch every week. That free context panel is now being withdrawn on a fixed schedule. What remains for most people is either manual digging or a paid Copilot summary path. The practical shift is not only cost. Passive, non-AI meeting context becomes something teams must design on purpose, with clear inputs, review steps, and handoffs, instead of assuming the calendar will keep doing it for free.

Treat this as a trap to avoid if your only plan is waiting for Copilot seats, and as a change to act on if meeting prep still lives in one-off chats. Before early September, pick one recurring meeting series and write a short workflow blueprint your team can reuse: required inputs, where business context lives, what the AI or human must check, and the final handoff standard, so prep still works when Meeting Insights disappears.
