Microsoft maps SharePoint oversharing cleanup to Copilot rollout stages

Microsoft’s foundational Copilot deployment guidance treats oversharing as a first-order readiness risk. It lays out Pilot, Deploy, and Operate phases for tightening how SharePoint and OneDrive content is shared and discovered before Copilot makes that access more obvious. The path relies on SharePoint Admin Center controls, SharePoint Advanced Management features such as content assessments and data access governance reports, and Microsoft Purview labels and DLP where licensed. Actions differ for E3 and E5, including default sharing settings, permission reviews, and limiting discovery of high-risk sites. Restricted SharePoint Search is positioned as a temporary brake with a limited site count. The blueprint is guidance, not automated enforcement, and still depends on admin capacity and site owners doing reviews.
Before this framing, many mid-size tenants treated Copilot readiness as a licence and training problem, with permission cleanup left as a vague backlog across hundreds of Teams and sites. Forgotten “anyone” links, broad group access, and broken inheritance stayed invisible until a ticket or an audit forced a scramble. What changed is the official sequence: clean and constrain discovery relative to who gets Copilot and when, instead of promising a perfect tenant first. Copilot still only surfaces what a user can already open, so the real shift is political and operational. Leadership now has a Microsoft-shaped checklist, which means sprawl and guest sharing become rollout blockers rather than background noise.
Analysis
Treat this as a pilot-scoping tool, not a mandate to remediate every abandoned Team before anyone gets Copilot. Pick the next pilot group, list the SharePoint sites and Teams they actually use, run permission and sharing-link review only on that set, and only then decide whether SharePoint Advanced Management or deeper Purview controls are worth the licence and owner chase.
