Microsoft 365 moves file sharing to one primary link per file

Microsoft is rolling out a third-generation sharing experience built around a single hero link for each file or folder. That same link is used when someone copies a link, shares by email, or opens the item in the browser, across SharePoint, OneDrive, and related Microsoft 365 apps. By default the hero link is set to Only people added to the file, so the URL itself does not grant access. Admins and users can still add people explicitly, and they can change the link’s settings later without creating a new address. Existing links keep working during the change. Worldwide rollout, including GCC and related clouds, runs from mid-September through late October 2026. Roadmap ID is 492622. No tenant action is required before the feature appears.
For years, SharePoint and OneDrive sharing meant juggling several link types, each with its own audience and expiry story. People copied whatever link the dialog offered, then left those links live while permissions piled up through guests, direct grants, and broken inheritance. Small admin teams inherited the mess as ticket queues and oversharing reports, especially when leadership started asking about Copilot readiness. One primary link per item makes access easier to reason about and easier to tighten or widen without scattering new URLs. The secure default will cut casual Anyone-style exposure, but it will also raise access-denied noise until users learn that pasting a link is not the same as granting access. Consistency helps governance. Habit change is the real cost.

This is a change to plan for, not a feature to ignore until tickets spike. Before mid-September, draft a short owner note that explains the new default, when to add people versus change the hero link, and that old links still work, then spot-check your tenant’s default sharing link type so the rollout does not fight a looser baseline you already set.
