Google spreads Gemini custom instructions across Gmail Sheets Slides Drive and Chat

Google has expanded custom instructions for Gemini in Workspace beyond Google Docs. Users can now set lasting preferences for style, tone, and formatting that apply in Ask Gemini in Drive, Ask Gemini in Chat, and the Gemini side panel in Gmail, Sheets, and Slides. Instructions live in the Personalization setting tab and carry across those surfaces once set. The change is rolling out gradually to Rapid and Scheduled Release domains starting 2 September 2026, with visibility taking up to 15 days. Access still depends on already having the relevant Gemini features in Workspace. The instructions remain personal to each user rather than shared team objects.
Before this, many professionals retyped the same tone, format, and audience rules every time they opened Gemini inside a different Workspace app. A clean brief in Docs did not travel to Gmail drafts, Sheet summaries, or Chat replies, so each surface felt like starting from a blank chat. After the rollout, one personal instruction set can steady basic output shape across the apps people already live in. That reduces repeated setup for recurring work. It does not create a team workflow, shared context library, or review standard. The reliability gain is real for individual consistency, but still limited to preferences rather than full business process design.

This is a change to act on, not a trap and not a full system replacement. When the setting appears, write one short custom instruction covering your default tone, audience, and formatting rules for the three Workspace tasks you run most often, then keep a separate human review checklist for facts and business fit.
