Outlook removes free Meeting Insights ahead of September

Microsoft is retiring Outlook Meeting Insights, the panel that pulled related emails and files into a meeting’s details. The change starts in mid-August 2026 and should finish by early September 2026 across Worldwide, GCC, and GCC High. Microsoft says licensed Microsoft 365 Copilot users should use the Prepare for this meeting experience instead. That path summarises relevant content, tasks, and context for people who already have Copilot. Removal is automatic. There is no opt-out described, and Microsoft has not named a free replacement for users without Copilot.

For years, Meeting Insights was a quiet free assist: open a meeting and see linked mail and files without hunting. Many people never treated it as a formal workflow, but it still reduced last-minute searching before hybrid calls. That free surface is going away on a short clock, and richer prep is being pointed at paid Copilot. The practical shift is not only “AI instead of a panel.” It is that meeting prep is no longer something Outlook quietly does for everyone. If your day already scatters actions across email, Teams, and flags, losing automatic related-item surfacing makes weak pre-meeting habits more costly.

Analysis

Treat this as a trap if you wait for a free stand-in, and as a small change to act on if you still open meetings expecting related mail and files to appear. Before mid-August, pick one recurring meeting type and write a two-minute prep checklist you control: calendar notes, a saved Outlook search or folder for that series, and one place for actions in To Do or Planner, so prep does not depend on Meeting Insights or Copilot.
